The Ultimate Wedding Planning Checklist: Everything to Do, Month by Month
Wedding planning has a reputation for being overwhelming. It doesn't have to be — if you know what you're supposed to be doing and when. This checklist is the guide I wish every couple starting out had.
18-15 Months Before: The Big Decisions
This is where you set the foundation. None of it is urgent, but all of it shapes everything that follows:
- Set your budget. Have an honest conversation with everyone contributing financially. Know your total number before you fall in love with venues.
- Draft your guest list. Start broad — you'll be cutting, not adding. This number determines everything from venue size to catering costs.
- Pick your date(s). Narrow to 2-3 options. Popular venues and vendors book 12-18 months out for peak season.
- Research and book your venue. This is the single most consequential decision. The venue sets your date, your capacity, your style, and a significant portion of your budget.
12-9 Months Before: Vendors Start
- Book key vendors: photographer, videographer, caterer, officiant, band or DJ, florist
- Send save-the-dates — especially for destination weddings or peak-season Saturdays
- Start dress shopping — orders take 4-6 months, plus alterations
- Book hotel room blocks for out-of-town guests
9-6 Months Before: The Details
- Select your wedding party and start conversations about costs and commitments
- Register for gifts — registry links on your wedding website make it easy
- Plan the honeymoon — bookings 6 months out typically get better rates
- Book transportation between ceremony, reception, and accommodation
6-3 Months Before: Final Planning
- Order invitations — allow 6-8 weeks for printing
- Send invitations — 8 weeks before is standard; 12 weeks for destination weddings
- Finalize seating chart — this takes longer than people expect
- Order wedding favors and koufeta
3-1 Months Before: The Home Stretch
- Apply for marriage license — requirements vary by country and municipality
- Confirm final headcount with caterer (usually 5-7 days before)
- Write and rehearse speeches
- Delegate day-of tasks to someone who isn't you
The Week Before
- Confirm all vendor arrival times
- Prepare cash and tips in envelopes
- Charge all electronics
The Day After
- File your marriage license with your officiant
- Text your vendors thanking them while the experience is fresh
- Rest. Seriously.
